M3 AI Solutions LLC ("M3AI Solutions," "we," "us," or "our") respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit rankaipilot.com or m3ais.com (together, the "Sites") or use our products and services, including RankAI Pilot (the "Services").

By using the Sites or Services, you agree to the terms of this Privacy Policy. If you do not agree, please do not use the Sites or Services.


1. Who We Are

M3 AI Solutions LLC is a California limited liability company with its principal place of business in California, United States. We can be reached at info@m3ais.com.


2. Information We Collect

2.1 Information You Provide Directly

  • Account information: name, email address, business name, billing address, and password when you register for an account.
  • Business contact details: business phone numbers and addresses you enter as part of a business profile or listing you manage. These are business records; we do not use them to send you text messages.
  • Mobile number for verification (optional; only where SMS sign-in verification is offered and you opt in): see Section 3.1 for exactly how it is used.
  • Communications: messages you send to us via email, contact forms, or support channels.
  • Payment information: when applicable, payment details processed by our third-party payment processor (we do not store full payment card numbers on our servers).

2.2 Information from Connected Google Services

When you authorize RankAI Pilot to access your Google accounts via OAuth 2.0, we receive information from Google services that you explicitly authorize. This may include data from:

  • Google Business Profile: business listings, locations, posts, photos, reviews, Q&A, and performance metrics.
  • Google Search Console: site verification status, search analytics data (queries, clicks, impressions, position), sitemaps, and URL inspection data.
  • Google Analytics: aggregated audience, acquisition, behavior, and conversion data from the properties you connect.
  • Google Ads (when applicable): campaign structures, performance metrics, and account settings.
  • Other Google APIs you explicitly authorize from time to time.

We only access data within the scopes you grant during the OAuth consent process. You may review and revoke these permissions at any time at https://myaccount.google.com/permissions.

2.3 Information Collected Automatically

  • Usage data: pages viewed, features used, timestamps, referring URLs, and interaction patterns within the Services.
  • Device and log data: IP address, browser type, operating system, device identifiers, and similar technical information.
  • Cookies and similar technologies: see Section 9 (Cookies) below.

2.4 Information from Third Parties

We may receive limited information from third-party services we integrate with (analytics providers, hosting providers, authentication services) as necessary to operate the Services.

2.5 Information Our Business Clients Provide About Their Customers

Business clients using our review-request feature provide us with limited contact details of their own customers — typically a name and an email address or mobile phone number — for the sole purpose of sending a review invitation on the client's behalf. We process this information as a service provider acting on the client's documented instructions; see Section 3.3.


3. How We Use Your Information

We use the information described above for the following purposes:

  • To provide and operate the Services, including authenticating you, managing your account, displaying dashboards, executing SEO and digital presence tasks you request, and synchronizing data with your connected Google accounts.
  • To communicate with you about your account, service updates, security notices, and support requests.
  • To improve the Services, including diagnosing technical issues, monitoring performance, and developing new features. (Note: we do not use data from Google APIs to train generalized artificial intelligence or machine learning models — see Section 4 below.)
  • To comply with legal obligations and enforce our Terms of Service.
  • To protect the Services and our users from fraud, abuse, and security threats.

3.1 Phone Numbers and SMS (Text) Messages

Where the Services offer SMS sign-in verification, providing a mobile phone number is optional and requires your express opt-in at the point you enter the number, before any message is sent; we record that consent with a timestamp for auditing. If you opt in, we use your mobile number solely for:

  • Sending one-time verification codes to sign in to or verify your account.
  • Account-security notifications (for example, alerting you to a password change).

Phone numbers entered as part of a business profile or listing are business records and are never enrolled in SMS messaging.

We do not use your mobile number for marketing or promotional messages, and we do not sell it or share it for others' marketing. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except with SMS delivery providers acting on our behalf solely to deliver the messages described above.

Message frequency varies with your sign-in activity. Message and data rates may apply. Reply STOP to opt out of SMS at any time or HELP for help; opting out of SMS does not close your account — you can continue to sign in by email.

This section covers the account holder's own mobile number. For review-request messages we send to a business client's customers at that client's direction, see Section 3.3.

3.2 Email Addresses — Login, Transactional, and Marketing Use

Your email address is used for:

  • Authentication: signing in, verification codes, and password-reset messages.
  • Transactional and service messages: registration confirmations, billing receipts, security notices, and material changes to the Services or this policy. These are necessary to operate your account and cannot be opted out of while your account is active.
  • Marketing messages only with your separate, explicit opt-in consent: we send product news and offers only if you check the (unchecked-by-default) marketing consent box at signup or later in your account settings. Marketing consent is never inferred from account creation or acceptance of our Terms.

Every marketing email includes a working one-click unsubscribe. Withdrawing marketing consent stops marketing email but does not affect authentication or transactional messages.

3.3 Review Requests Sent on Behalf of Our Business Clients

Business clients can use the Services to send review invitations to their own customers by email or SMS. For these messages:

  • What we process: the recipient's name and email address or mobile phone number, provided by the business client, together with the invitation text and review link.
  • Consent basis: the business client is responsible for having the recipient's consent or another lawful basis to be contacted (including, for SMS, prior express consent under applicable telemarketing and text-messaging laws such as the TCPA). We contractually require this in our Terms of Service and act solely as the client's service provider.
  • Sole purpose: we use recipient contact details only to deliver the requested invitation and to honor opt-outs. We do not use them for our own marketing, do not sell them, and do not share them except with the delivery providers acting on our behalf.
  • Opt-out: SMS recipients can reply STOP at any time and will receive no further texts from us; email recipients can use the opt-out mechanism in the message or contact us at info@m3ais.com. Opt-outs are recorded and suppressed across future requests from the same client.
  • Retention and deletion: recipient contact details are retained only as long as needed to deliver the message, keep the suppression list effective, and meet our legal obligations; clients can request deletion of their customers' data at any time.

4. Google API Services User Data — Limited Use Disclosure

RankAI Pilot's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • Use is limited to user-facing features: we only use information obtained from Google APIs to provide or improve features that are prominent and visible to you within RankAI Pilot. We do not use Google user data for unrelated purposes.
  • No transfer except as permitted: we do not transfer information obtained from Google APIs to third parties except (a) as necessary to provide or improve user-facing features that are prominent in our Services, (b) to comply with applicable law, or (c) as part of a merger, acquisition, or sale of assets with notice to you.
  • No advertising use: we do not use information obtained from Google APIs to serve advertisements, including retargeted or personalized advertising.
  • No human reading except as permitted: humans at M3AI Solutions do not read information obtained from Google APIs unless (a) we have obtained your affirmative agreement to view specific data, (b) it is necessary for security purposes (such as investigating abuse), (c) it is necessary to comply with applicable law, or (d) the data has been aggregated and anonymized for internal operations.
  • No use for training generalized AI/ML models: we do not use Google user data to train, develop, or improve generalized or non-personalized artificial intelligence or machine learning models. Any AI features within RankAI Pilot that operate on your data do so to provide personalized outputs to you within the Services.

You can revoke our access to your Google account data at any time by visiting https://myaccount.google.com/permissions and removing M3AI Solutions / RankAI Pilot from your authorized applications.


5. How We Share Information

We do not sell your personal information. We share information only in the following limited circumstances:

  • Service providers: with third-party vendors who help us operate the Services (cloud hosting, email delivery, payment processing, customer support tools, analytics). These providers are contractually bound to use information only as necessary to provide their services to us.
  • Legal compliance: when required by law, subpoena, court order, or other legal process, or to protect the rights, property, or safety of M3AI Solutions, our users, or others.
  • Business transfers: in connection with a merger, acquisition, reorganization, or sale of assets, with notice to you where required by law.
  • With your consent: when you direct us to share information with a specific third party.

We do not share data obtained from Google APIs in any manner inconsistent with the Limited Use disclosure in Section 4. We do not share mobile phone numbers, SMS opt-in data, or SMS consent with third parties or affiliates for marketing or promotional purposes (see Section 3.1).


6. Data Retention

We retain personal information for as long as your account is active or as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. Specifically:

  • Account data: retained for the life of your account and for a reasonable period thereafter for legal and operational purposes.
  • Google API data: synced and cached only as needed to provide Services. When you disconnect a Google account or close your M3AI Solutions account, we delete the associated OAuth tokens and Google-derived data within thirty (30) days, except where retention is required by law.
  • Logs and analytics: typically retained for up to twenty-four (24) months in identifiable form.

You may request deletion of your data at any time by emailing info@m3ais.com — see Section 10 (Your Rights).


7. Data Security

We implement technical and organizational measures designed to protect your information, including:

  • Encryption in transit using TLS for all data exchanged with the Site and Services.
  • Encryption at rest for sensitive credentials, including OAuth refresh tokens.
  • Access controls that restrict employee access to user data on a need-to-know basis.
  • Infrastructure hosted on Google Cloud Platform with industry-standard security practices.

No security measures are perfect, and we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you and applicable regulators as required by law.


8. International Data Transfers

M3AI Solutions is based in the United States. If you access the Services from outside the United States, your information may be transferred to, stored in, and processed in the United States or other countries where our service providers operate. By using the Services, you consent to such transfers, subject to applicable legal protections.


9. Cookies and Similar Technologies

The Site uses cookies and similar technologies for essential functionality (such as authentication and session management), performance measurement, and analytics. You can control cookies through your browser settings. Disabling cookies may affect certain features of the Site.


10. Your Rights and Choices

Depending on your location, you may have the following rights regarding your personal information:

  • Access: request a copy of the personal information we hold about you.
  • Correction: request correction of inaccurate or incomplete information.
  • Deletion: request deletion of your information, subject to legal retention requirements.
  • Portability: request a portable copy of information you provided to us.
  • Opt-out: opt out of certain processing activities, including marketing communications.
  • Revoke Google authorizations: at any time at https://myaccount.google.com/permissions.

10.1 California Residents (CCPA / CPRA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act, as amended by the California Privacy Rights Act, including:

  • The right to know what personal information is collected, used, shared, or sold.
  • The right to delete personal information held by us.
  • The right to correct inaccurate personal information.
  • The right to opt out of the sale or sharing of personal information (we do not sell personal information).
  • The right to limit the use of sensitive personal information.
  • The right to non-discrimination for exercising these rights.

10.2 European Economic Area, United Kingdom, and Switzerland

If you are in the EEA, UK, or Switzerland, you may have rights under the GDPR or comparable laws, including the rights listed above plus the right to lodge a complaint with your local data protection authority. Our legal basis for processing is typically (a) performance of a contract with you, (b) our legitimate interests in operating the Services, (c) compliance with legal obligations, or (d) your consent where required.


11. Children's Privacy

The Services are not intended for individuals under the age of 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact info@m3ais.com so we can delete it.


12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last Updated" date above. For material changes, we will provide notice through the Site, the Services, or by email. Your continued use of the Services after the effective date of changes constitutes acceptance.
